Privacy Policy

Vanways s.r.o., Company ID 24523780, with registered office at Uzbecká 1463/1, Vršovice, 101 00 Prague 10, as the data controller, processes personal data in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council (GDPR) and Czech Act No. 110/2019 Coll. on Personal Data Processing.

Effective from: 28 April 2026

1. Data we process

When using vanways.cz or our contact forms, we may process the following data:

• first name and surname
• e-mail address
• phone number
• reservation dates and number of persons
• content of your message
• billing details (address, company ID, VAT ID)
• ID card and driving licence number (only when concluding a rental contract)
• IP address and technical device information (browser type, OS, language)
• payment and transaction history

2. Purpose and legal basis for processing

We process your data on the following legal grounds under Article 6(1) GDPR:

• Performance of a contract [Art. 6(1)(b)] — handling enquiries, campervan reservations, conclusion and performance of the rental contract, customer communication.
• Compliance with legal obligation [Art. 6(1)(c)] — issuing invoices, accounting, document archiving, fulfilling tax obligations.
• Legitimate interest [Art. 6(1)(f)] — protection of legal claims, fraud prevention, security of our services, website improvement (analytics).
• Consent [Art. 6(1)(a)] — marketing communications, newsletters, optional cookies. Consent may be withdrawn at any time.

3. Retention period

• Non-binding enquiries: 12 months from submission
• Rental contracts: 10 years from termination of the contractual relationship (limitation periods under the Civil Code)
• Accounting documents and invoices: 10 years under § 31 of Czech Act No. 563/1991 Coll. on Accounting
• Tax documents: 10 years under Czech Act No. 235/2004 Coll. on VAT
• Marketing consents and newsletter: until consent is withdrawn
• Server logs and IP addresses: no longer than 6 months

4. Recipients of the data and processors

Data may be made available to the following categories of recipients:

• web hosting and server infrastructure provider
• external accounting and tax advisor
• web administrator and IT service provider
• SMS gateway and e-mail service provider
• bank and payment service provider (Fio Bank)
• analytical tools (Google Analytics, Search Console, Seznam Sklik, Meta)
• online chat operator (Tawk.to)
• public authorities to the extent of statutory obligations

5. Transfer of data outside the EU/EEA

Some of the tools we use (in particular Google Analytics and Tawk.to) may transfer data outside the European Economic Area — typically to the USA. These providers are bound by Standard Contractual Clauses of the European Commission (SCC) and/or are certified under the EU-U.S. Data Privacy Framework, which ensure an adequate level of personal data protection.

6. Cookies and analytics

The website vanways.cz uses three categories of cookies:

• Necessary — provide the basic functionality of the website (login, cart, language). They cannot be disabled.
• Analytical — Google Analytics for measuring traffic and behaviour. Only with consent.
• Marketing — for advertising targeting. Only with consent.

7. Automated decision-making and profiling

No automated decision-making within the meaning of Article 22 GDPR or profiling with legal effects takes place when processing your personal data.

In accordance with GDPR, you have the right to:

• access your personal data (Art. 15)
• rectify inaccurate data (Art. 16)
• erase your data — "right to be forgotten" (Art. 17)
• restrict processing (Art. 18)
• data portability (Art. 20)
• object to processing (Art. 21)
• withdraw consent (Art. 7) — without affecting processing prior to withdrawal

We will respond to requests without undue delay, no later than 1 month from receipt. Requests are free of charge; in the case of manifestly unfounded or repetitive requests, we may charge a reasonable fee.

9. Data Protection Officer (DPO)

Given the nature and scope of processing, we are not legally required to appoint a Data Protection Officer. For any questions regarding the processing of personal data, please contact us directly at the contacts listed below.

10. Data security

We protect your data using appropriate technical and organisational measures (HTTPS encryption, secure password policies, restricted access to authorised persons, regular backups). Nevertheless, we cannot guarantee absolute security of data transmission over the Internet.
